Admin Officer – Processing Department
About The Role
Reporting directly to the
Supervisor – Processing Administration, the
Admin Officer - Processing plays a key role in supporting the daily administrative operations of the Processing department. This position is vital for ensuring accurate documentation, effective coordination across teams, and the smooth flow of communication, all while supporting NPL’s Processing activities.
In This Role, You Will
- Managing daily administrative tasks, filing, photocopying, scanning, laminating, binding, typing, pre-start checks record update and distribute report weekly, scheduling weekly 274 inspections.
- Maintaining up-to-date records of Processing schedules, work orders, parts inventory, and service history within the Processing system
- Serving as a liaison between the processing team and other departments, coordinating resources, updating job statuses, and ensuring smooth communication across teams
- Preparing reports, tracking processing metrics, and compiling data to support Processing operations
- Assisting in managing purchase orders, invoices, SES, monitoring inventory levels, and coordinating deliveries to ensure availability of necessary parts and supplies
- Ensuring compliance with NPL’s health, safety, and environmental policies by maintaining organized and accessible documentation
- Performing routine office tasks such as answering calls, responding to inquiries, and arranging safety meetings as requested by the supervisor
- Uphold high standards of health and safety awareness, ensuring compliance with NPL’s Occupational Health & Safety Policy and all safety procedures.
Additional Tasks
- Managing local award weekly timesheets and monthly staff timesheets
- Coordination and managing of new contractors and visitors onboarding (travel arrangements, passport & visa arrangements)
- Compiling contractor man-hours report at the end of months
- Raise ATR & Reclass as requested by Mill management
- Co-ordinate Termination & Clearance
- Arrange travels for FIFO employees and reloc families (adhoc and business travels)
- Smoko, Function & kai orders
- Warehouse orders (both DP & stock items)
- Organizing new vendor creation in SAP
- Service PO requisitions & variations (Both for Contractors and Equipment)
- Lime Haulage Accrual Monthly Report
- Phone & Camera permit arrangement for both employees and contractors on request bases
- Open PO report update every month
- Preparation of High Security Vehicle Permits access into the Mill areas on requests
- Sourcing of local contractors and managing daily man-hours spreadsheet/day worksheets
- Mill reline co-ordination (organize POs, travels & other necessary arrangements onsite/offsite)
About You
To succeed in this role, the ideal candidate will possess the following qualifications and experiences:
- Minimum of Grade 12 education or equivalent
- Certificate in Business Administration or related field (preferred)
- At least 5 years of experience in an administrative role, ideally in a mining, or industrial setting
- Proficiency in MS Office applications (Word, Excel, Outlook)
- Strong organizational skills with high attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Knowledge of processes and experience with management systems (SAP/Oracle, inflight, workspace, online leave application and automated time and attendance system) is desirable.
Mobilization Requirement
This is a PNG National Local Staff position, a site-based role on a Walk in Walk out arrangement with rotation of 14 days on and 7 days off. Must successfully pass a pre-employment medical including drug and alcohol screening. (This will be arranged only for successful candidates who progress after the interview stage) and have an up-to-date Police Clearance Certificate (acquired within the last 6 months). Must be a Local Porgeran (Cat 1A – SML, Cat 1B –LMP or Cat 2 – Other Porgera) candidate and available to start immediately. Females are encouraged to apply.
