Job Objectives
Responsible for all aspects of document control. Tasks and responsibilities include, but not limited to:
- Serves as primary interface for document entry and retrieval from the document management system (Aconex) for functional departments.
- Check documentation to ensure that formats comply with company standards and procedures (Doc number, title, revision, date etc.).
- Actively work with Documents for Operations (DFO) Coordinator and/or Project Information Management Lead to ensure documents required by operations, engineering or maintenance are received from Project.
- Assist Engineering, maintenance or operations in retrieving documents from Aconex. If documents seem missing, work with counterpart in projects or contractor to locate the files where possible.
- Provide system generated reports on time as required, and that regular exception reports on late documentation are made available for management review.
- Actively participate in project meetings and anticipate information management needs.
- Prepare training materials and conduct regular training on the electronic document management system.
- Ensuring required filing and archiving of technical documents is done in a timely manner.
- Produce regular drawing status reports, as required.
- Support site team as required with tasks such as compiling packages in electronic and hard copy formats, managing redlines etc
- Undertake other administrative and document control tasks as requested by the Lead Document Controller or Facilities Surveillance Section Head to support site with completion tasks.

Expected
- 5+ year’s industry working experience with document management, and IT systems and tools.
- Experience in engineering and vendor document control is required.
- Experience in upstream oil and gas industry is required. Field experience is preferred
- Engineering Degree with good academic credentials
- Good communication and English speaking skills
- Strong commitment to safety and company work practises
- Experience with MS Office products e.g. Microsoft Office, Sharepoint, Excel, Word
- Ability to prioritize tasks and meet deadlines
- Experience with an Electronic Document Management System is required e.g. Aconex.
- Good English language skills (written and oral).
- Technical Documents – can demonstrate knowledge of different types of documents and drawings and is able to visually identify key documents.
- Document Numbering – can demonstrate understanding of corporate numbering system, how document numbers are applied and how client requirements are implemented.
- Distribution Matrix - can demonstrate knowledge of distribution matrix lifecycle.
