Rainy River Mine
Situated in beautiful northwestern Ontario, 65 km northwest of Fort Frances, the Rainy River Mine is an open pit and underground, gold and silver producing, residential mine site.
The Rainy River Mine, located adjacent to the Ontario / Minnesota border is 65 Kilometers northwest of Fort Frances, Ontario and is situated half way between Winnipeg, Manitoba and Thunder Bay, Ontario. The area is home to more than 130 species of birds and large populations of moose, black bear and deer. About The Role

- 8 Hours Per Day – 5 Days On / 2 Days from 7:00 AM to 3:00 PM, or,
- 9.5 Hours Per Day – 5 Days On / 2 Days Off / 4 Days On / 3 Days Off from 7:00 AM to 4:30 PM
Position Overview
As a member of the New Gold Capital Projects Department, the Construction Administrative Coordinator is expected to live by and role model the New Gold I. The Construction Administrative Coordinator reports to the Construction Superintendent and will provide efficient, effective, and highly organized administrative acumen and general office coordination support for New Gold Construction and the Capital Projects Department. The position will be based at the Rainy River Mine Site in Blackhawk, Ontario working from the Marr Site Construction Office in a multi-disciplinary open office team environment. The position is full-time providing administrative support in areas of personnel, equipment, and materials management, progress measurement, tracking, and reporting, and cost control including tracking, procurement, purchase requisitions, and invoicing approvals processes. The successful candidate will demonstrate a positive attitude, contribute to a high-performance work culture, and actively seek and implement continuous improvement in these domains and their duties.
Duties And Responsibilities
General Administration & Office Support
- Documentation record keeping, filing, and management.
- Data record keeping, organization, analysis, and reporting.
- Maintain daily crew rosters, attendance, and leave and exceptions tracking.
- Maintain accurate operator and equipment hours tracking.
- Coordinate with Training Department on operator hours for progression.
- Maintain progression plans for operators and collaborate with Supervisors on training needs.
- Maintain records of all mandatory training, ensuring that team members are compliant.
- Assist with personnel onboarding, locker assignments, and equipping workers (example PPE).
- Maintain and update Key Performance Indicator (KPI) tracking.
- Support Supervisors with INX health & system entry, action tracking, and closeout.
- Scheduling meetings and planning and executing team functions as required.
- Miscellaneous other office support duties as assigned.
Project Controls & Contracts
- Assistance with cost, quantity, schedule, and progress tracking, validation, and reporting.
- Collection and record of all equipment load sheet information into InEight Software.
- Update and maintain InEight project tracking for accurate cost allocation reporting.
- Utilizing SAP to prepare purchase requisitions, receive invoices, download reports etc.
- Coordination and proactive management of construction materials procurement and inventory.
- Assistance with invoice verification, validation, and approval processes.
- Assistance in development of the Work Breakdown Structure (WBS) for construction scopes.
- Thorough understanding of the WBS for accurate resource and cost allocation.
- Equipment Administration
- Ensure equipment logbooks and maintenance records are completed by operators.
- Maintain and track equipment maintenance items, reporting to Maintenance Department.
- Regularly communicate the status of outstanding maintenance items with operators.
- Ensure that preventive maintenance schedules are followed by equipment hours.
- Reschedule maintenance of equipment and light vehicles as required by construction.
- Accurately track, record, and maintain all equipment hours and maintenance records daily.
- Verify that Maintenance Dispatchers are tracking construction equipment correctly.
- Review all daily equipment logs and report identified issues to Mechanics & Dispatches.
- Compile monthly email to Project Controls and Mine Operations for Fuel Consumptions.
Qualifications
- Relevant administrative office experience in previous employment is required.
- High School Diploma or GED, a Diploma or Certificate in Business Administration preferred.
- Proficient in Microsoft Office Suite – Word, Outlook, and advanced knowledge of Excel
- Experience with SAP, SAP/4HANA or Equivalent ERP Software experience is required.
- Experience with InEight Software & INX Health & Safety system considered advantageous.
- Excellent verbal and written communication skills.
- Excellent organizational skills, ability to develop and maintain organizational systems.
- Excellent multi-tasking skills and ability to prioritize and re-prioritize tasks.
- Highly detail oriented with supporting analytical thinking and problem-solving skills
