Your Next Challenge
Reporting to the Office Services & Event Coordinator, the Office Services and HR Assistant Co-op will primarily provide transactional Office Services and HR support. Key responsibilities will include assisting with the management of the Corporate office, covering Reception when needed, supporting a variety of employee events and awards, and providing HR administrative support.
Reception
Specific responsibilities will include:
- Cover Reception during lunch hours and absences, or when required by the business;
- Coordinate, support, and facilitate all communication and requests to and from Reception;
Events And Employee Engagement
- Assist with the planning, coordination and execution of HR office social events and ad hoc catering;
- Support the coordination and execution of annual award nominations and ceremonies;
Office Services
- Assist with the overall management of the office. This will include: ensuring general office cleanliness, coordinating required repairs, adjusting office space when required and managing floor plans, and maintaining meeting rooms, kitchens and wellness room well stocked; Liaise with building management;
- Assist with communication memos to corporate office employees relating to the office (e.g. elevator disruptions, work being performed at the premises, etc.);
- Support with the tracking of all spending related to office services to ensure compliance with budget;
Health And Safety
- Support Joint Health and Safety Committee (coordinate meetings, take meeting notes and manage communications to the office);
- Perform office safety inspections and walk-throughs;
- Report hazards and support the implementation of remedy plans to mitigate hazards and incidents;
HR Assistant
- Support the Wellness Program (coordinate different initiatives, draft communications, research wellness topics for future events, etc.);
- Assisting with data entry and coordination of HR Programs;
- Provide support with monitoring the Corporate HR and Office Services mailboxes and answering general employee questions or escalating them to the right person as needed;
- Participate in new employee onboarding; support in preparation of office space and hand out of welcome swag.
What You Need To Succeed
- Post Secondary Degree or Diploma in Human Resources, Administration or a related field;
- Ability to communicate effectively, confidentially and professionally;
- Demonstrated ability in using MS Office applications (Outlook, Word, Excel and PowerPoint);
- Excellent time management skills and ability to prioritize;
- Highly organized;
- Customer service oriented;
- Excellent problem-solving skills;
- Ability to work in a team environment and also independently;
