Job Description
Wood is recruiting for a Document Control to join its Malaysia Business Unit, supporting the delivery of largescale data centre construction projects. The role will operate as part of the Onsite Owner’s Representative team, ensuring that all project documentation is accurate, complete, traceable, and compliant with Owner standards throughout the full project lifecycle.
The Role
This position will act as the Owner’s Representative and will be responsible for managing and overseeing all aspects of project documentation to ensure accuracy, completeness, and compliance with Owner, regulatory, and project requirements.
The Document Control Lead will support coordination, administration, and closeout of documentation across all stakeholders and phases of the project, working closely with Owner data center teams, designers, contractors, and consultants to drive documentation quality and timely project closeout.

Responsibilities
Documentation Management & Coordination
- Collaborate closely with Owner’s data center stakeholders and internal/external partners (including DCS, DCops, DES, architects, engineers, and General Contractors) to ensure high-quality, complete, and compliant documentation deliverables
- Facilitate regular documentation meetings, workshops, and follow-ups to track progress and maintain alignment with the latest Project Manual and Document Closeout Manual
- Act as the focal point for documentation coordination across all project disciplines
Electronic Document Management (EDM) Administration
- Administer the Owner’s Electronic Document Management (EDM) system, including document imports, updates, access control, library structure, and reporting
- Ensure correct document versioning, traceability, visibility, and availability throughout the project lifecycle
- Support document sharing and controlled distribution to relevant stakeholders, ensuring timely access to accurate information
Quality, Change & Compliance Control
- Implement and monitor document change management processes to minimize inaccuracies, duplication, or data loss
- Audit documentation during design and construction phases to ensure compliance with Owner standards and project requirements
- Review final contractor and consultant submissions for completeness, accuracy, and closeout readiness
Process Improvement & Closeout Support
- Identify opportunities to improve documentation workflows, tools, and reporting methods
- Contribute to the development and refinement of document control processes and standards
- Act as a liaison for the Owner’s Document Control Coordinator, supporting the end-to-end document closeout process
- Proactively identify and resolve roadblocks to ensure timely, accurate, and complete documentation closeout

Expected
- Diploma or Bachelor’s degree in Information Management, Business Administration, Engineering, or a related field
- Minimum 8–12 years of experience in document control or information management, preferably on large construction or data center projects
- Strong experience administering EDM systems and managing document workflows across multiple stakeholders
- Familiarity with project manuals, document closeout requirements, and construction documentation processes
- High attention to detail, strong organisational skills, and clear communication abilities
