Job Description
The De Beers Group of Companies has an exciting opportunity for a motivated and detail-oriented individual to join our Engineering & Site Services team as a Travel Administrator at the Gahcho Kué Mine, Northwest Territories. Reporting to the Senior Supervisor, Camp & Travel, this position operates on 5 days on / 2 days off rotation, working at home with occasional site visits.
As a Travel Administrator, you will be the single point of accountability for all travel and accommodation logistics to and from mine site. This includes flight bookings, passenger manifests, room assignments, and managing irregular operations (IROPs) such as delays or cancellations. The ideal candidate thrives in a demanding environment, enjoys multi-tasking, and is committed to safe working practices and operational excellence.
Work Schedule
- Rotation: 5 days on / 2 Days off
- Hours: Monday 8:00 AM – 5:00 PM, Tuesday 11:00 AM – 8:00 PM, Wednesday 5:00 AM – 2:00 PM, Thursday 8:00 AM – 5:00 PM, Friday 8:00 AM – 5:00 PM
- Additional: Some statutory holidays on fly days may require work at an overtime rate
Key Responsibilities
- Accommodation Management: Oversee room assignments for 450 rooms, ensuring alignment with rotation patterns, shift schedules, and special requirements. Maintain occupancy dashboards and generate daily reports.
- Travel & Aviation Coordination: Plan and book charter/commercial flights, manage passenger manifests, and coordinate with northern carriers. Handle irregular operations (IROPs) including delays, cancellations, and re-accommodation.
- Rosters & Scheduling: Maintain rotation rosters, align shift times with flight schedules, and prevent double bookings across rooms and flights.
- Compliance & Safety: Ensure adherence to WSCC codes, OHS/Mine Safety Regulations, and site policies. Support emergency response and maintain secure handling of personal data.
- Finance & Administration: Reconcile travel-related expenses, manage vendor invoices, and produce KPIs on utilization, performance, and compliance.
Reporting to the Site Services Supervisor, the role resides within the Site Services department. This is a site-based position working on a 5 x 2 Rotation from home with site visits as required.
Qualifications
Formal Qualifications:
- Education: Minimum High School Diploma; Aviation Management courses preferred (BARS compliant).
- Experience: At least 8 years in mining operations with aviation and camp coordination experience, including charter coordination and IROPs handling.
- Technical Skills: Proficiency in MS Excel and Word; ability to learn and use specialized software.
- Knowledge:
- Understanding travel policies, aviation compliance, and contingency planning.
- Experience in cross-cultural work environments.
- Strong analytical and critical thinking skills.
- Excellent organizational abilities and attention to detail.
- Ability to work independently under pressure and manage multiple priorities.
- Effective communication skills (verbal and written).
- Ability to lead process improvement initiatives and implement technology solutions for travel and accommodation.
- High level of professionalism and courtesy when dealing with employees, contractors, and external stakeholders.
- Comfortable working in remote environments and handling unpredictable conditions (weather, mechanical issues, etc.).
Beneficial If You Have
- Familiarity with dashboards and reporting tools;
- Nomadis travel system experience;
- Aviation Safety or Risk Management certifications (e.g., BARS, ICAO, IATA standards); &
- Proven ability to manage irregular operations (IROPs) and emergency scenarios with minimal disruption.

- Preference will be given to Members of the Deninu Kué, Lutsel K’e Dene First Nation, North Slave Métis Alliance, Northwest Territory Métis Nation, Tlicho Government, or Yellowknives Dene First Nation, followed by non-indigenous residents of the Northwest Territories.
