Main Objective of the Job
Lead and govern all document control and information management activities for the MARA Project, ensuring the integrity, traceability, quality, and availability of engineering and project documentation throughout the full project lifecycle.
The role safeguards the project’s single source of truth and enables compliant, efficient, and risk-controlled execution across engineering, procurement, construction, commissioning, and close-out phases. The Document Control Lead ensures consistent application of documentation standards, systems, and workflows across internal teams and EPC/EPCM contractors.
Operating Context
- The Document Control Lead operates within the MARA Project delivery organisation, supporting a large-scale and technically complex mining development in a multi-contractor EPC/EPCM environment.
- The role interfaces closely with Engineering, Project Controls, Procurement, Construction, Commissioning, and external contractors, managing high volumes of multidisciplinary technical documentation. This is a hands-on leadership role requiring strong governance, attention to detail, and the ability to drive compliance in a fast-paced project setting.
Qualifications
- Degree or technical qualification in Engineering, Information Management, Systems, Industrial Engineering, Administration, or related discipline
- Minimum 5–8 years’ experience in document control or information management within capital projects (mining, industrial, infrastructure, EPC/EPCM)
- Demonstrated experience leading document control activities and/or teams on complex projects
- Advanced Spanish and strong English communication skills
Experience And Skills
- Strong understanding of document control practices across engineering, procurement, construction, commissioning, and project close-out
- Proven experience using Electronic Document Management Systems (EDMS), preferably ACONEX; experience with SharePoint, ProjectWise, OpenText or similar systems also valued
- Ability to define, implement, and enforce document numbering systems, metadata structures, workflows, and approval matrices
- Strong organisational skills with high attention to detail and data quality
- Ability to train, guide, and influence internal teams and contractors to ensure compliance
- Comfortable operating in high-volume, multidiscipline and matrix project environments
- Strong MS Office skills (Excel, Word, PowerPoint); Power BI knowledge desirable
- Knowledge of ISO standards ISO 9001, ISO 14001 and ISO 45001
Key Accountabilities
- Document Control Leadership Lead all document control activities for the MARA Project, establishing standards, procedures, and governance aligned with Glencore requirements. Act as the focal point for document control across internal teams and external contractors.
- Engineering and Project Documentation Management Manage engineering and administrative documentation throughout project development and execution. Ensure timely receipt, registration, review, approval, distribution, and archiving of documents across all disciplines. Ensure documentation is coded in accordance with project procedures.
- EDMS Ownership and Governance Own the configuration, administration, and day-to-day operation of the project EDMS (ACONEX). Ensure data integrity, version control, appropriate access management, and correct use of workflows and transmittals.
- Contractor and EPC/EPCM Interface Ensure EPC/EPCM and contractor documentation complies with project standards, formats, and procedures. Monitor contractor performance in document management and escalate deviations as required. Support document management aspects of contract and service close-out, including final deliverables and native files.
- Document Status Reporting and Controls Track document progress against contractor deliverables and schedules. Generate clear and accurate status reports highlighting overdue documents, approval cycle times, and bottlenecks. Proactively notify stakeholders of deviations from approved plans.
- Quality, Auditability and Traceability Ensure document quality control prior to issuance and approval. Maintain full traceability of revisions, approvals, transmittals, and correspondence. Participate in audits, inspections, and reviews of engineering deliverables, including Rev. A submissions.
- Training and Capability Building Train contractors and internal project teams in EDMS use, document procedures, and standards. Prepare and maintain procedures, templates, instructions, and training materials applicable to the project. Monitor correct application of document control practices.
