In this role you will be responsible for:
- Optimise management time by screening calls and visitors, managing the manager’s calendar and coordinating meeting room bookings.
- Provide administrative and clerical support to the management team, including preparing correspondence, reports and internal memorandums.
- Manage external meetings, venues and logistics; take minutes where required and distribute accurate minutes and action lists in a timely manner.
- Maintain and improve office systems, filing and document control.
- Build and maintain professional relationships with colleagues and external stakeholders, representing the company positively at all times.
- Manage internal communication tasks and assist with external representation requirements.
- Raise requisitions and manage inventories for office consumables and services.
- Coordinate in-house and external events, meetings and travel arrangements as required.
- Handle confidential information with discretion and maintain high standards of confidentiality and professionalism.
About you:
- Grade 12 (NQF Level 4) or equivalent.
- Minimum 5 years’ secretarial/administrative experience; or minimum 2 years’ experience if in possession of a recognised Secretarial diploma.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
- Strong written and verbal communication skills in English.
- Excellent administrative, organisational and interpersonal skills.
- Demonstrated ability to work under pressure, prioritise tasks and meet deadlines.
- High level of accuracy and attention to detail.
- Experience with SAP S/4HANA and Coupa.
- Prior experience supporting senior managers in a corporate, mining or heavy-industry environment.
- Event coordination experience and advanced PowerPoint/presentation design skills.
