The Opportunity
We are currently seeking an
Administrative Assistant to join our Human Resources team in
Toronto. This is a permanent on-site position
.
As an
Administrative Assistant , you will play a key role in ensuring seamless administrative operations by providing support to the Executive Assistant team and serving as a reliable backup for reception. In this position, you will uphold a professional and welcoming front-office experience for visitors while managing calls and inquiries efficiently.
You will also contribute to executive-level priorities through tasks such as expense management, travel coordination, and process optimization. Your ability to anticipate needs, prioritize effectively, and maintain accuracy will enable you to drive operational excellence and support organizational success.
Additionally, in this position you will:
- Ensure a professional and welcoming experience for visitors while managing calls and inquiries promptly.
- Maintain front desk and common areas in an organized, presentable condition and assist with meeting coordination, including setup and refreshments.
- Process expense reports, prepare documents and make travel arrangements.
- Assist with onboarding activities, including preparing welcome materials and access badges for new hires.
- Liaise with building management and service providers to address operational needs and maintain efficient office functionality.
- Adapt to changing priorities by performing ad hoc administrative tasks with flexibility and attention to detail.
About You
Education :
- Post-secondary education in business administration or a related field is preferred.
Experience :
- Minimum of 2 years in a receptionist or administrative support role, ideally within a corporate or professional services environment.
- Experience in the mining or natural resources sector is considered an asset but not required.
Skills :
- Excellent verbal and written communication skills with a strong customer-service mindset.
- Strong interpersonal skills and ability to build positive relationships.
- Ability to prioritize, multitask, and manage time effectively in a fast-paced environment while maintaining discretion and reliability.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
