Role Overview/Purpose
The
Mill Maintenance – Short-Term Planner owns the planning process for fixed-plant assets and is the site champion for
SAP PM/EAM work-order quality. The role converts defects and preventive needs into
field-ready job packages, builds the rolling plan and weekly
frozen schedule with Maintenance & Operations Supervisors, and ensures safe, compliant, and efficient execution aligned to the
Ontario OHSA,
Reg. 854 – Mines and Mining Plants,
WHMIS 2015, and applicable
CSA standards (e.g.,
CSA Z460 – LOTO,
CSA Z462 – Arc Flash). Success is measured by schedule adherence, backlog health, wrench time, data quality, and reduced unplanned work.
Responsibilities
Primary Responsibilities:
- 1) Health, Safety, Environment & Quality (HSEQ)
- Embed risk controls and legal requirements in every plan: FLRA/JSA, permits (hot work, confined space), isolations/LOTO per CSA Z460, electrical safety per CSA Z462, and environmental controls.
- Attach SOPs, isolation drawings, P&IDs, OEM instructions, QA checks, and acceptance criteria to SAP orders/task lists via SAP DMS.
- Support the Internal Responsibility System; participate in incident/near-miss reviews and track corrective actions to closure in SAP.
- Work Requests → Field-Ready Work Orders (SAP PM/EAM)
- Triage/clarify notifications; confirm FLOC/equipment, symptom, priority/criticality, and authorization.
- Convert approved notifications to well-scoped work orders with operation steps, durations, craft mix, permits/isolations, special tools, parts/BOMs, staging/kitting, QA/inspection points, and completion criteria.
- Apply catalog coding standards (damage/cause/activity); reference measurement points/conditions where applicable.
- Maintain status discipline from “planning” to “ready to schedule”; economically bundle by area/system/duration.
- Planning & Scheduling Rhythm
- Own the rolling 13-week plan and the weekly frozen schedule; run readiness meetings with Maintenance, Operations, Reliability, and Supply Chain.
- Balance planned vs. unplanned work; protect preventive and statutory tasks.
- Issue daily look-ahead with clear job packs and kitted materials; align with operations windows/equipment releases.
- Shutdowns/Turnarounds (Weekly / Monthly / Annual)
- Build integrated shutdown plans (scope freeze, task networks/critical path, resources, access/permits).
- Drive material availability (MM/MRP), contractor mobilization, and pre-shutdown checklists; manage punch-list and start-up QA.
- Lead post-event reviews (safety, scope & schedule variance, rework) and update standards/task lists.
- Master Data Governance & Materials
- Maintain SAP Functional Location/Equipment hierarchy, classes/characteristics, task lists, maintenance strategies, and BOMs for critical systems (crushers, conveyors, SAG/ball mills, thickeners, pumps, filters, utilities).
- Partner with Supply Chain to kit jobs, manage min/max and critical spares, prevent stockouts/expedites; ensure controlled drawings/documents are in SAP DMS.
- Follow-Up, Close-Out & Data Quality
- Verify confirmations (time, findings) and failure coding completeness; ensure TECO within standard and attach photos/reports/COCs.
- Convert technician feedback and condition findings into follow-up notifications/orders; update task lists and PM strategies with lessons learned.
- Publish weekly KPIs from SAP and drive corrective actions with Supervisors/Operations.
Daily / Shift-Level Rhythm
- Morning: review plant status, emergent work, and parts constraints; adjust near-term plan.
- During day: release job packs, resolve field blockers, confirm kitting/permits, quality-check orders.
- End of day: audit confirmations/notes, failure codes, and TECO; move next jobs to Ready to Schedule.
Skills, Knowledge, Qualifications And Experience
- Education & Experience
- Diploma/Degree in Mechanical/Electrical/Industrial Engineering/Technology, or Red Seal trade background with planning experience.
- 5+ years maintenance planning/scheduling in mining or heavy industry; fixed-plant experience strongly preferred.
- Demonstrated leadership in shutdown planning and weekly scheduling.
Technical Skills (SAP-Centric)
- Proficient in SAP PM/EAM: notifications, orders, task lists, maintenance strategies, measurement points, confirmations/TECO, catalog coding.
- Integration awareness with MM (BOM/MRP, purchasing/service entry), CO/PS (costing/settlement/WBS), and DMS.
- Able to read P&IDs, mechanical/electrical drawings, OEM manuals; advanced Excel and working knowledge of Power BI or SAP embedded analytics for planning KPIs.

Working Conditions
- Camp-based rotation: 7 days on / 7 days off (day shift), Island Gold District, northern Ontario.
