About the Job:
This is an hourly position reporting directly to the General Manager and supporting multiple departments. The Administrative Assistant supports the Rochester team by performing a variety of administrative and organizational tasks to ensure smooth day-to-day operations. This role requires strong multitasking, communication, and problem-solving skills in a fast-paced environment. This is a site-based role at our Rochester Mine Site, located northeast of Lovelock. The schedule for this position is Monday – Thursday, 10-hour shifts.
Responsibilities:
- Reconcile company credit cards, creating purchase orders for all related expenses.
- Support departments with check requests and expense submissions.
- Coordinate move orders and manage work orders
- Submit work requests for production building maintenance and arrange move orders for janitorial supplies.
- Coordinate travel, training, meetings, and seminars for employees, and assist with expense forms as needed.
- Ensure seamless support for operations and admin and the overall efficiency of the team.
- Courteously manage incoming calls with confidentiality in mind, redirect calls when needed with attention to the urgency required
- Manage kitchen and office areas and ensure appropriate use of overall building is maintained, including monitoring of conference room space and secure storage areas
- Manage incoming and outgoing mail and packages, run errands, pick up meals as needed for team, etc.
- Ensure phone list is current and communicated across site, in partnership with IT and HR
- Other duties as assigned
- May perform functions that are in the community, arrange gatherings and meetings which will include others outside of the organization
- May be involved in confidential information pertaining to the mine site and community which will be privileged information
- High level of multi-tasking with ability to coordinate and follow through with tasks assigned to conclusion.
- May take the lead on work tasks which would include organizing others and their work tasks.
Required Qualifications & Skills:
- High school diploma or equivalent (additional education in business administration is a plus).
- Valid driver’s license is required for this position and ability to drive on a mine site and to and from town.
- Proven experience in an administrative or similar role, preferably in a mining, industrial, or resource-focused environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with industry-specific software (Oracle, Concur, Intelex)
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Ability to work in a team-oriented, high-pressure environment with minimal supervision.
- Understanding of workplace safety standards and mine site protocols is desirable.

Additional Information:
- Hourly Rate Range: $25.00 - $31.00 (DOE)
- Quarterly bonus up to $4,100 (up to $16,400 annually)
